The Scans submodule in Safety Real Time allows managers and drivers to upload, organize, and manage critical fleet documents. It provides a centralized location for storing various document types associated with drivers, facilitating easy sharing between managers and drivers through the web platform and mobile apps.

1. Document Upload and Sharing

The Scans submodule enables users to upload documents such as waybills, vehicle registrations, maintenance records, and more. Documents can be shared between managers and drivers, ensuring that important paperwork is accessible to the necessary personnel.

  • Upload Documents: Users can upload a file by selecting a driver, document type, and file, or by dragging and dropping files into the upload section.
  • Document Sharing: Drivers can upload documents through their mobile apps, allowing managers to access and review them from the web platform.

2. Document Organization

Each document uploaded is categorized by driver and document type, making it easy to track and retrieve specific files when needed. Common document types include:

  • Waybills
  • Vehicle Registrations
  • Trip Sheets
  • Maintenance Records
  • Proof of Delivery (POD)

3. Editing and Deleting Documents

Users can edit the document details, such as changing the document type or driver, and delete unnecessary or outdated files. This keeps the system up-to-date and organized.

The filter panel on the right side allows users to quickly find specific documents by selecting filters like driver, document type, or creation date. This helps in narrowing down the search and improving retrieval speed.

5. Document Sharing for Drivers and Managers

Both drivers and managers can upload and access important documents through their respective platforms (web for managers, mobile app for drivers). This ensures seamless communication and document exchange between the two parties.

How to Upload a Document

  1. Click the Share Document button.
  2. Select the driver from the list, or toggle "All" to share the document with all drivers.
  3. Choose the Document Type from the dropdown menu.
  4. Drag and drop the file or click to browse and upload.
  5. Click Save Scan to complete the process.

The uploaded document will then appear in the list, sorted by driver and document type, and will be accessible to the selected driver(s).
